Fundraising Website
The Fascia’s Fundraising Website will provide the fundraising Organization with a branded online ‘storefront' where their supporters can place orders for items made by Fascia’s and assign them to a salesperson of their choice.
Order fulfillment will be completed by the Organization including collection of all funds. A single order will be placed on Fascia’s by the Organization using reports derived from the ordering system.
The key benefit to Fascia’s is access to real time order levels across multiple Organizations versus today’s issue of having to wait until the end of the fundraising session. A key improvement to the Organization is the ability to produce reports and save on errors calculating quantities in total, by Seller and by Customer.
List of Definitions used:
- Organization - the actual entity running the fundraiser. Typical types would be PTO’s, Scout Troops and other Nonprofits.
- Coordinator - The person in charge of the Organization’s efforts. Main contact for Fascia’s staff and the person who would need to log into the site and run reports for the Campaign.
- Seller - the person(s) within the Organization who are going to sell on its behalf. They will each need a unique ID and be able to log in and run their own level of reports.
- Customer - the person purchasing the items.
- Campaign - the season and year of a particular fundraiser. Many Organizations run multiple Campaigns within a year at different seasons or multiple years in the same season.
Envisioned Flow and requirements:
Fascia’s creates a Master site that looks like a shopping cart of all available products for the particular session. There will always be Everyday items but each season (likely Valentine’s Day, Easter, Spring (perhaps Early and Late), Summer and Fall) will only be live and shown at that time. Important that we are able to hide certain items and save them for the next appropriate session.
The Organization chooses a limited number of those items to be available for their Campaign.
The Organization supplies a graphic to be used as a banner or header on their particular page. The size and aspect ratio of this banner needs TBD and specifics given to the Organization. The final graphic should have all logos and branding necessary and, at a minimum, have the dates the fundraiser is running, when and how fulfillment of the orders will be executed and any necessary contact information.
Fascia’s assigns a unique URL to the Organization for the specific Campaign, along with a series of unique Seller codes, quantity TBD by the Coordinator.
Fascia’s staff will create the page with its unique URL, branded banner and the shopping cart of items available. The Seller Codes are loaded in as well so that when the Campaign is live, the orders cannot be placed without a valid Seller Code.
The Coordinator must then load in a Seller Name and email address for each Code that is being used.
The only access to the Page would be by direct typing the URL or to use a QR code.
When the Customer goes to ‘Check Out’ after placing items in a shopping cart, they are putting in their name, email and phone number, at a minimum. Address is optional but desired.
An email order confirmation should be sent to both the Seller and Customer. The Customer order confirmation should include the Seller name also have a block of text that the Organizer provides, confirming the order logistics and any other information they desire. It would be great if a logo was able to be added.
As orders flow in, Fascia’s can run reports to see the quantities being ordered. Filtering or Sorting by item or Campaign will be desired.
It is important that Fascia’s can ‘shut off’ an active item at any time during the sales period and have it be unavailable across all campaigns for additional sales.
The Organizer should be able to run reports for their Campaign that also provide filtering and sorting capability by item and/or Seller.
There should also be Order level reports that can be run by the Organizer or Seller. These would include an order list by Customer with items and total $ and the original orders.
Fascia’s should be able to run all the other reports available to the Organizer and Seller.
